Student Internship Mobility activity is the internship of a student enrolled in a higher education institution at an enterprise abroad, at a research institute, in a laboratory or in an institution or organization related to the academic field of study. Course follow-up in a higher education institution is not accepted as an internship.

The duration of the activity is between 2 and 12 months, which is valid separately for each level of study. Dec. The internship activity can be carried out in each class during the study period and within 12 months after the graduation of students in the last classes of the study programs. In the internship activity to be carried out after graduation, the application must be made before the student graduates (while he is already an associate, undergraduate or graduate student). Graduated students cannot apply.

The internship mobility after graduation must be completed within 12 months from the date of graduation. The total of the internship period after graduation and the mobility period carried out by the student at the same level should not exceed 12 months.

Higher education institutions may prefer to stay out of internship activities after graduation. Higher education institutions that will prefer to stay out of internship activities after graduation should make a senior management decision on this at the beginning of the relevant call year and announce this situation to students. If such a decision has not been taken or announced to the students at the beginning of the call year, the option of staying out of the internship activity after graduation cannot be applied.

1.  Examples of Suitable Internship Places:

Any public or private sector organization located in one of the countries where internship activities can be carried out, in the labor market or in the field of education, training, youth, research and development, can be an internship place. Although there is no restrictive list, the following organizations can be considered as an example of a suitable internship location:

 - Small, joint or large-scale enterprises owned by a public or private sector

 - Local, regional or national public institutions

 - Embassies or consulates of the sending country abroad

 - All kinds of formations / associations belonging to the business world such as chambers of commerce, artisan-artisan unions, stock exchanges and trade unions

 - Research institutes

 - Foundations

 - School/institute/training center (it can be any kind of educational institution from preschool to high school education, including vocational education or adult education)

 - Non-profit institutions, associations, NGOs

 - Institutions offering career planning, professional consultancy and information services

 Institutions of Higher Education (Eche higher education institutions in programme countries should have their national legislation in accordance with the higher education institutions in the partner countries recognized by the sending institution and the competent authority prior to placement of bilateral inter-agency agreement must be signed)

The following institutions are not eligible for higher education internship activities within the scope of Erasmus+:

- European Union institutions and EU agencies (bk. https://europa.eu/european-union/about-eu/institutions-bodies_en )

- The National Agency that conducts EU programs, etc. organizations.


2.  The Status of Students Who Froze Registration

Students who freeze their registration cannot perform their compulsory internship during the period when they freeze their registration. The issue of whether the student who freezes registration for optional internships can benefit from mobility is at the discretion of the higher education institution. Internship mobility application can be made during the registration frozen period.

 

3.  Minimum and Maximum Periods for a Single Activity

The minimum period of internship mobility is 2 full months, the maximum period is 12 full months.

In the case of internship mobility, the internship may be interrupted if the internship business is closed due to holidays. Grant payment is paid for the period of time the enterprise is closed. In order to ensure the minimum activity period, it is necessary to investigate in advance the dates when the internship business will be closed, and make sure that the minimum period is provided even after the vacation period is subtracted. Weekend holidays are not vacation periods to be excluded from the activity period.

[1] In case of interruption of activities due to force majeure reasons, activities that cannot be completed within the minimum period are accepted, provided that the force majeure reason can be Decertified, and grants are given in exchange for the remaining period. An event or situation should be contacted by the Center before it is considered a force majeure.

In case of return of students before the completion of the minimum period, except for force majeure reasons, the activity is considered invalid and the grant is not paid.

4.  Election Conditions and Documents Used in the Election

4.1.    Minimum Requirements

In order to participate in the activity, students must first meet the following minimum requirements:

1. The student must be a full-time student[3] enrolled in a higher education program at any of the formal education levels (first, second or third level)[2] within the higher education institution,

2. a) first level students 'cumulative academic grade point average of at least 2.20/4.00 be, B) tran during the application phase yet unformed 1-undergraduate grade point average for transfer students, a minimum of a license from the front 2.20/4.00; 2-High School graduation for first year students at least 75/100, c) second and third level students' cumulative academic grade point average of at least 2.50/4.00 be,

3. Having an ECTS credit load that is not sufficient for a sufficient number of courses or courses for learning mobility[4]. For master's and doctoral students who do not have a course load, for example, who have moved to the dissertation period, a tuition agreement can be arranged based on a non-course workload of 30 ECTS[5] in one academic semester.

4. If he has benefited from higher education mobility activities[6] during the 2014-2020 and/or 2021-2027 Erasmus+ semesters within the current level of education, the total duration of the new activity should not exceed 12 months.

Higher education institutions may raise the base score threshold in case of excessive application demand, provided that they comply with the criteria set by the Center. 4.2 Selection Criteria

Higher education institutions choose their students to participate in the internship activity according to the selection criteria determined by the Center. Student elections, among students who apply by providing minimum requirements for the Center, declared by considering the weighted evaluation criteria and scores points may be sorted from the highest down, and the preferred order/points/criteria is performed according to the budget.

In case of prior benefit, the application of “-10 points” deduction is not applied for mobility performed at the previous level of education or for mobility other than higher education student / internship mobility. It is applied if a student who has completed mobility applies again within the same level of education.

For students who were elected in a previous election period at the same level of education, but did not perform their activities without force majeure, a deduction of “-10 points” is applied for each activity for which the activity was not performed, despite being eligible. If the higher education institution allows a period of time for students to inform that they have given up by anticipating the abandonment, and students inform that they have given up within this period, the deduction of points is not applied.

Students studying in a double major can apply for mobility from only one major during the same application period.

The ranking of students' scores is made within the relevant department / faculty according to the quotas allocated to the departments or faculties.

4.2.3 Breakdown of Notes

The student's grade point average must meet the minimum requirements at the application stage. The most recent tran taken by the student is used to determine the grade point average. 4.2.4 Foreign Language

Higher education institutions should establish a criterion for determining the level of a foreign language that is equally applicable to all students applying. At the application stage, all students should be asked for the same (or different) document / exam results, which are considered equivalent to each other, and these document / results should be taken into consideration.

The documents to be used in determining the foreign language level and the method to be applied are notified to the students during their application. If the higher education institution itself organizes an exam to determine the level of a foreign language, this exam should be conducted by professional institutions (units of the institution or other universities related to foreign language teaching, or special institutions affiliated with the Ministry of National Education). The Erasmus corporate coordinator and Erasmus office employees cannot take part in any stage of the foreign language exam. In the evaluation of the exam results, the effect of the exam result, which determines the speaking level, if any, on the total foreign language exam result cannot be more than 25%.  Higher education institutions may not charge students for participation in the foreign language placement exams they organize. Because an institutional support grant is provided by the Center to support the costs related to the student selection process. To determine the number of students who can participate in the exam and examination regulations allocated for Labor, time and economic resources to avoid wastage of applying for higher education or students who have not attended the exam without a compelling reason to re-apply any activity within the scope of the event, the weighted score from selection “-5 points” can be reduced. 5.  Grant Support, Duration and Grant Calculations

           5.1 Monthly/Daily Grant Amounts According to the Countries/Activities Visited

Grant support is provided to students to ensure that part of their expenses arising from being abroad are covered during the period of activity they spend abroad. The grants are not intended to cover the full costs of the students related to the activity, but are only contributions.

The countries where student mobility activities can be carried out are divided into 3 groups according to their standard of living levels and monthly/daily internship grants have been determined for the country groups.

 The country groups and the monthly / daily grant amounts to be given to the students who will go to these countries are shown in the following tables:

      B) Additional Grant Support for Student/Recent Graduate Mobility

      Disadvantaged participants will be able to receive Additional Grant Support in October in addition to the grant they deserve. In order for the grant to be granted, the disadvantaged participant was defined as an individual who has limited economic and social opportunities and fits into the following subcategories.

      1) those who are subject to the law No. 2828 (those who have a decision on protection, care or housing by the Ministry of Family and Social Services in accordance with the Law No. 2828)

2) Students whose rights have been decided to be protected, cared for or sheltered in accordance with the Child Protection Law No. 5395

3) Those who are connected to the orphan pension

4) Children of martyrs / Veterans

5) To the student or family who are connected disability pension (student's self, mother, father or guardian of the municipalities, public institutions and organizations (ministries, social assistance and solidarity Foundations, the General Directorate of foundations, the Red Crescent, AFAD, the reference received financial support from institutions such as Erasmus during his time as proof that are required to be submitted.

Credit and Dormitory Institution scholarships and similar scholarships, other grants, grants and scholarships in the nature of success scholarships, one-time grants are not accepted within the scope of this financial assistance.

Students who meet the above coverage, if they request and on condition that they certify their status, will be able to receive an Additional Grant Support of € 250 per Month for student mobility between 2-12 months, depending on the type of mobility.


6.      Making Cuts in Grants

The higher education institution makes a grant deduction in the following cases, provided that it is announced prior to the mobility and stipulated in the contract:

1) In Case of Failure: Grants of unsuccessful students are deducted proportionally to the failure, not less than 5%. The higher education institution should determine the amount and reasons for the deduction to be made due to the failure in advance, announce it to the students who will participate in the mobility, it should be stipulated in the grant agreement to be signed with the student and apply the same deduction amount for the same situations in accordance with the principles of equality and transparency.

2) Failure to Fill out the Participant Questionnaire: Except for technical reasons, students who do not fill out the participant questionnaire are deducted in the amount of 20% of the total final grant. All deductions are made based on the number of activity days performed, the number of deduction days is entered in the relevant section in the Beneficiary Module, and the reasons for deduction are written in the explanation section.


      6.1 Full Refund of the Paid Grant:

If the documents proving participation in the mobility (participation certificate or post-return tran (ToR), which can replace it) are not submitted, the mobility is considered invalid and the grant is not paid to the student; the grant paid at the beginning is collected.


7.      Academic Recognition

The institution of higher education is obliged to provide full recognition to the period of study spent abroad.

Full recognition must be performed in the following way: taken at the host institution and the student internship agreement with their original names and credits of internship in the footnotes of the tran and Diploma Supplement clearly the student to be included in the Erasmus+ mobility benefitted from under must be specified. In addition, October 6.1 of the tran and Diploma[10] should clearly indicate which courses were taken within the scope of Erasmus+ and which higher education institution.

Before the internship activity begins, a Learning Agreement for Traineeship (Learning Agreement for Traineeship) must be signed by all parties. The signing of internship agreements for the 2021 call year will be carried out in print, not online, through EWP. The sending higher education institution guarantees that full recognition will be provided if the student succeeds in the business program specified in this agreement.

It is necessary that the student's internship period within the scope of the curriculum is fully recognized by his institution and preferably using ECTS credits.

In cases where the internship is not part of the curriculum, the higher education institution carries out the recognition by registering the internship activity carried out abroad in the Diploma Supplement.

In order to guarantee academic recognition, a decision of the department / faculty / institute board should be taken on how the internship activity will be recognized in the program where the student is a student before the student leaves.


8.      Online Language Support (OLS)

8.1.    Scope of Online Language Support

An Online Language Support system is offered by the European Commission for students who will benefit from student mobility activities in higher education.

Online language support, German, French, Dutch, Italian, English, Spanish, Czech, Danish (Danish language), Greek, Polish (Polish language), Portuguese, Swedish, Bulgarian, Finnish, Croatian, Hungarian, Romanian, Slovak, Irish, Estonian, Latvian, Lithuanian, Slovenian and Maltese languages are offered. Students who will carry out their overseas mobility activities in these languages are subject to this system. However, among the students who will carry out activities in these languages, online language support is not applied for students whose native language is the language in which they will carry out activities. Dec.

Online language support includes exams that students are required to take and optional online language course support.


8.2.    Compulsory Exams

Students selected to perform internship mobility take two exams through the OLS system, one before starting their activities and one separately after completing their activities. Participants who get C2 from the first exam are not required to take the second exam.

The exam is conducted in the language in which the student will perform the internship activity at the institution to which he goes. Students who perform more than one activity, even if the activities follow each other, also take the OLS exam for each activity.

Exams do not affect the students' eligibility status. The exams before and after the activity are conducted in order to observe the change in the language proficiency of the student during the activities. OLS exams cannot be used as a means of selection for mobility.

The exam results can only be viewed by the student and the higher education institution that sent the student.


8.3.    Optional Language Courses

After taking the language exam, students can attend online language courses depending on their wishes before starting their activities, if they find themselves inadequate according to the exam results, or on the recommendation of higher education institutions.

German, English, Spanish, French, Italian, Dutch and Portuguese languages and B2 on the exam and the result of the exam; Bulgarian, Czech, Danish, Greek, Croatian, Hungarian, Polish, Romanian, Slovak, Finnish and Swedish languages and the B1 exam and the result of the exam, depending on the wishes of the students on the language of the country they go to online language courses can benefit from. The course assignment to these students is again made by the higher education institution. The online language courses that become active at the beginning of the mobility can be continued for two more months after the end of the mobility, up to a maximum of 13 months.


8.4.    Participation in Online Language Exams and Courses

The ability of students to participate in exams and language courses is provided by higher education institutions. The higher education institution is obliged to assign compulsory exams to the student before departure and at the end of mobility. The institutional support grant of the higher education institution that does not fulfill this obligation without a force majeure reason may be deducted by 25% to 75% in accordance with the provisions of the October Grant Agreement “Contractual and Financial Provisions - Grant Deduction in Case of Insufficient, Partial or Late Implementation”. Language examination and language course rights (licenses) are defined by the Center to all higher education institutions that will carry out student mobility at the beginning of the contract period in accordance with their mobility capacities through the OLS system. The licenses are given to the higher education institution as a total number without distinction of language. The higher education institution decides how many licenses to use in which language according to its own needs.

The higher education institution defines the exam rights allocated to it for the students who will perform activities in that language for each language through the OLS system. It also defines the course licenses for the students who will take the course.

Licensing procedures for students are made possible by entering students' e-mail addresses into the system. Students take their exams and courses via the web page link sent to their e-mail addresses.

If the number of language course licenses of the higher education institution is lower than the number of students who want to take the course, the higher education institution distributes the course licenses starting from the students who have the lowest score in the language of the exam they have entered.

It is recommended to give ECTS credits to students who take OLS courses regularly. The amount and conditions of the ECTS credit to be defined to the OLS are at the discretion of the higher education institution.


9.      Extension of the Activity Period

If the student requests an extension of the activity period, his/ her request is evaluated by the Erasmus office and the student's faculty / department officials. Depending on the approval of the institution and the academic status of the student, it is possible to extend the period, but it is not mandatory. For the extension of the period, the following conditions must be met:

1. In order to extend the period, the request must be submitted no later than 1 month before the originally planned mobility end date. In case the request is accepted by all parties, changes should be made to the grant agreement and all necessary procedures regarding the extension of the period should be completed.

2. The extended period cannot be extended after the end date of the contract signed between the Dec and the higher education institution

3. If there is an increase in the maximum grant amount specified in the contract signed with the student, October contract should be made with the student in this case.

In the event that students extend their activities, if there are sufficient grants in the relevant operating budget of the higher education institution, grants may be granted for the extended period of activity. In the event that the budget is not sufficient to cover the extension periods of all students who want an extension, the students to be granted grants are determined in accordance with the principle of impartiality and transparency based on their success in the first selection.


10.  Returning Before the Completion of the Planned Activity Period

In case of early return of students from the planned mobility activity, the following possibilities are at stake:

 1. If the minimum period specified in this manual for the type of mobility is completed, but the student returns early from the planned activity period, the amount of the grant is given to the student in exchange for the period of the student's stay abroad. If more than the grant calculated for the remaining time has been paid, a refund of the excess amount is requested.

2. If the mobility is returned before the minimum periods specified in this manual have been completed, no grant payment will be paid for this mobility. However, the Beneficiary Module (BM) is entered for this student. Payments made (including travel, if any) will be refunded.

 3. If, as a result of force majeure, the minimum periods specified in this manual have been returned from mobility before completion, the grant payment is paid for the actual period of stay of the student abroad.


11.  Decommissioning of the Activity Period


In the event that the student is forced to return due to a personal force majeure without ensuring the minimum period of activity, the student has the opportunity to repeat his activity, provided that the following conditions are met:

1. The new activity must be of the same type as the activity that cannot be completed.

2. A new learning agreement must be signed.

3. The incomplete period and the period given for compensation should be reported separately.

If a student who has stayed longer than the minimum activity period is forced to return due to a personal force majeure, the student is not given the opportunity to go back to compensate for the activity that he could not complete.

Force majeure that affects the general (COVID-19, the presence of a natural disaster in the destination region, a strike, etc.) the National Agency and the European Commission make a general assessment on the situations of students who return before completing the prescribed period of activity due to this and make a decision that will be implemented collectively and make an announcement.


12.  Departure to the Country of Citizenship

It is possible for a student who is a citizen of one of the Program Countries and residing in Turkey to go to the country of which he is a citizen through mobility activities; however, during the evaluation process, these students are assigned to III of this Manual.4.2.2. In accordance with the article, low priority is given.


13.  Using Electronic Documents

The grant agreement signed by the student and the higher education institution must be signed wet. The Learning Agreement is arranged through the EWP/OLA platform. For documents other than this, students are asked to submit original wet signed documents first. However, when wet-signed documents cannot be provided, the documents to be sure it was real (e.g., presented by the student, although the officials of the partner institution to be confirmed by documents that are sent directly by the partner institution or wet) signed (without copy and electronic formats, such as JPEG, pdf) is considered.

In addition, in higher education institutions that use digital systems within the scope of Paperless Erasmus (Erasmus Without Paper) and Online Learning Agreement (OLA) projects, documents other than the grant agreement signed with the student should be prepared using these systems.


14.  Status of Being a Student Without a Grant (with a Grant of “0”)

Students can participate in activities without receiving a grant if they wish. Non-grant students are also subjected to a general assessment along with other applications and go through the same process as grant students. The difference of a student without a grant is that the student is not included in the budget calculations and is not paid for himself. Failure to receive a grant is not a reason for the student not to participate in the selection process.

After the students are selected according to the evaluation criteria and their weights, if there is a quota that cannot be supported financially within the budget allocated to the higher education institution, an assessment can also be made among the students who want to go without a grant. Dec. Here, in accordance with the rules of impartiality and transparency, the selection of students is carried out taking into account the general evaluation criteria and weights.

15.  Academic Fees

The higher education institution, which is a guest, cannot charge any academic fee to the student who comes within the scope of Erasmus+. Academic fee includes tuition fee, registration fee, exam fee, laboratory fee and library fee. However, the insurance, residence permit, discount travel card, copies of academic materials, laboratory products, such as the use of various materials necessary for the use of students of higher education institution on how to pay the fees if it makes the same amount will be charged.

Students continue to pay the tuition/tuition fees they normally pay, if any, by enrolling in their own higher education institutions during the period of their activities abroad.


16.  National Grants and Scholarships

The higher education institution is obliged to ensure the continuation of the higher education scholarships and loans that students participating in the mobility activity have already received during the period of their activities abroad Jul. This acquisition cannot be terminated, interrupted or reduced during the student's internship activity abroad.

Higher education institutions cannot limit the right of students who meet the national scholarship or loan application requirements to benefit from the Erasmus+ grant. Students who have not earned the right to apply for national scholarships or loans can also apply for an Erasmus+ grant.


17.  Insurance Obligations

Students participating in the activities are required to take out their compulsory insurance according to the relevant types of activities. The higher education institution checks that the insurances have been made and makes sure that they have been made. Which insurances are mandatory are specified in the student agreement.


18.  Student Mobility Documents

The following documents must be included in each student file or e-archive. However, except for the following, the higher education institution may also keep the documents it needs within its institution regarding the activity in the file.

Documents issued before the start of the activity and during the activity:


1.      Student application form and attachments October 2019:

October 1 - Schedule of notes,

October 2 - Document indicating the level of foreign language,

      2. Written notification or collective announcement to the student that the student has been selected,

Documents completed after the end of the activity:

1. Filling out the “after activity” section of the Tuition Agreement given to the student by the host institution to indicate the start and end days of the student's activity and being approved by the opposite institution. If a separate document indicating the dates of activity is issued and approved by the opposite institution, these documents are also accepted.

4. For internship mobility: The ”Evaluation of the Trainee" section of the Internship Agreement, which shows the assessment of success in the internship activity,

5. Student Questionnaire: Using the Mobility Tool, students are asked to fill out the online EU questionnaire (EU Survey). Students whose activities have been completed are required to fill out the questionnaire.

6. Online language exam: Students who have completed their activities are required to take language exams via the OLS system.

7. Explanatory and evidentiary documents related to special circumstances (deduction of the grant, early return due to force majeure, etc. documents showing the reasons for the situations),

8. After the student returns, the final tran of the courses indicating that they are recognized by higher education institutions and / or a sample of the Diploma October, if any.

In addition to these documents, the higher education institution is obliged to prepare the necessary documents that will be valid within the institution in order to ensure the academic recognition of the semester spent abroad.

Students who have completed the mobility period are required to complete the documents that they must submit upon their return. Sanctions against students who do not complete the documents Article III.it is mentioned in 8. The higher education institution determines a suitable date for the completion / correction of incomplete or incorrect documents of its students. Any request for changes made to the student information contained in the final report to be submitted to the Center after the 30-day objection period to the final report result will not be accepted.

STAGE 1: COMMUNICATION

After you are selected as an Erasmus internship student, be in contact with your Erasmus representative, the Erasmus Coordinator and the business / institution you will be visiting. Your department Erasmus representative will be your academic advisor during the mobility process. Erasmus experts will support you in administrative matters. Check your e-mail frequently, communication with you will be done via e-mail. Please keep in touch with your responsible specialist who is on the list announced on the Erasmus coordination page.

STAGE 2: DOCUMENTS

After you have been selected as an Erasmus internship student, you must first receive this invitation letter, if you have not yet received an invitation letter from the business / institution you are going to. If you want to use our invitation letter sample, click here.

Then, the documents in the checklist must be filled in and signed. A wet signature is not required for documents to be signed by the counterparty institution. The documents are as follows:

Documents to be Filled Before Going:

Learning Agreement for Traineeships: In this document, the program, objectives, achievements, evaluations, etc.in the workplace where the student will do the internship are included. We expect the students to read the document carefully and fill in the relevant parts. It is enough to fill in the "Before The Mobility" part before you go. There are 3 signatures in the document. The first signature belongs to the student, the second signature belongs to the department erasmus coordinator, and the third signature belongs to the official at the institution to be visited. The document can be sent and received by e-mail to the receiving institution. The office does not require wet signature in signature.

Internship Academic Recognition Document: This document contains the internship to be done by the student and the internships and credits that will be counted at our university. This document must be filled in with the department erasmus coordinator. If the internship can be expressed in a few words that will summarize the work to be done at the institution you will go to, it can be stated as such, otherwise it can be included with the phrase "internship". Whatever internship is to be counted at our university, it must be included with its code, name and credit. If the student benefits from internship mobility without the obligation of internship, it is appropriate to write "Non-Compulsory Internship" in the part to be counted in our university and "0" can be written on the credits. 3 copies of this document are taken and one of them is left to the department erasmus representative or the department secretary for the Faculty Administrative Board decision with a petition, the others are brought to the Erasmus Coordinator.

Confirmation Letter: This document will be useful for your visa application. After the invitation letter is received, a financial support letter "Confirmation Letter", ie a document confirming that the student is an Erasmus student with a grant, is received from the Erasmus Coordinator. After the invitation letter is received, the student requests the letter by submitting a copy to the responsible specialist in the Erasmus Coordinator. and confirms the amount of grant he will receive.

Agreement between the University and the Student: In this document, the student fills in the information on the first page of the contract document and prints 2 copies and comes to the responsible specialist. The responsible specialist fills in the other pages of the contract and gets the student signed. The student must open a Euro account for the bank account in this document.

Faculty Executive Board Decision: The internship academic recognition form and a petition are left to the department erasmus coordinator or the department secretary. The recognition of the internship to be done is requested in this petition. If the internship is not mandatory, a request is made to be included in the diploma supplement. This document is requested to be sent to the Erasmus Coordinator. These documents enter the board of directors and are sent to your responsible specialist in the office via the electronic document system.

Health Insurance: Students are required to take out accident, health and liability insurance covering the relevant period in relation to health risks in the business they will go to. Students should make sure that the insurance includes all three items.

OLS: Online Linguistic Support (OLS) system is provided by the European Commission for students who will benefit from Erasmus mobility.

Documents to be Bred After Return:

Certificate of Attendance: A document indicating that the student has done the internship, signed by the partner institution, covering the period of internship. If there is no ready-made template in the institution where the internship is performed, the template on our website can be used.


Evaluation Form: It is an evaluation form filled in by the responsible person in the enterprise where the internship is performed in order to evaluate the internship period of the student. It can be downloaded from our website.


After the Mobility (LA): The information in the After the Mobility section of the Learning Agreement for Traineeships document is filled in and signed by the responsible person at the place of internship.

ECTS Transformation Certificate: After the internship is completed,taj is the form that shows the realization as in the academic recognition form and includes the documents there. It is left to the department erasmus representative or the department secretary with a petition for the decision of the faculty board of directors.

Faculty Board of Directors Decision: It is a decision taken to implement the decision taken before leaving. This decision is sent to the Registrar's Office and the Erasmus Coordinator. ECTS Transformation Certificate and a petition are written for this decision. In this petition, the recognition of the internship is requested, if the internship is not compulsory, it is requested to appear in the diploma supplement.

Online Report Form: After your Erasmus mobility, a report form link will be sent to your email. It is enough to fill in the information on this form and submit. Your Erasmus specialist will see that you have filled the document from the system.

STAGE 3: PASSPORT

Upon receipt of the invitation / acceptance letter, the student can obtain a passport. Students under the age of 25 can get a free passport with a student certificate from the e-government portal. Students over the age of 25 must fill in the petition that can be obtained from the Erasmus web page and submit it to the Erasmus Coordinator in order to obtain a free passport. In return for this petition, Erasmus experts prepare an official letter for the student and send it to the Registrar's Office. The student first goes to the Rectorate (Registrar's Office), then to the Population Directorate and carries out the necessary procedures.

In the fee-free passport, the student is only obliged to pay the wallet fee.

STAGE 4: INSURANCE

The insurance obligations of the student are stated in the contract form to be signed between the university and the student as follows:

ARTICLE 5 - INSURANCE

5.1. The participant will have sufficient insurance coverage.

5.2. Confirmation that the participant has made arrangements for health insurance will be included in this contract. A copy of the health insurance taken out by the participant will be forwarded to the sending institution along with this contract.

5.3. The participant must take out the liability insurance that covers the damages caused in the institution where he / she is doing his internship and submit it as an annex to this contract.

5.4. The participant must take out accident insurance that covers the damages incurred in relation to his / her duties in the institution where he / she is intern and submit it as an annex to this contract.

STAGE 5: VISA

After the passport, you should contact the consulate of your destination country and find out what documents are required to obtain a visa. Visa process and documents, travel details, ticket transactions are under the responsibility of the student.

Health insurance is required for the visa. For the visas to be taken within the scope of Erasmus internship mobility, liability insurance as well as travel health insurance must be included in the policy as a guarantee. If the consulate of the country you are going to has different demands, those claims can also be made within the scope of insurance. Also, everyone SSI General Directorate of the SSK, AT11 is the document will be available from the Bureau of Overseas Operations, the students while they found for education in countries with Social Security Agreement with Turkey, it refers to the continuity of health insurance in Turkey and the health services in this country, enables countries to benefit within the scope of health policies. The only inclusion of the Erasmus Coordinator in the process regarding visa procedures is the financial support letter (Confirmation Letter) to be given to the student. Information about this article is given in the section "Documents before going".

Note: Students traveling to the UK must obtain a CosID from the British Council for a Tier 5 visa before applying for a visa. The student collects the necessary documents for this and sends them to the Erasmus specialist in scanned form. The CosID application is made by the Erasmus specialist.

STAGE 6: GRANT PAYMENT

After getting the visa, the student opens a Euro account in his name. If the account is opened from Halk Bank or Ziraat Bank, the bank does not charge SWIFT. However, other banks charge fees.

Since the grant will be deposited into the students' accounts after the National Agency has made the payment to our university, students can be deposited before or after going abroad. For this reason, students should discuss with the relevant bank whether they can withdraw the money from their accounts when they are abroad, before opening an account, in order to avoid unjust treatment.

After the student submits the necessary forms for grant payment to the Erasmus Coordination Office, 70% of the total grant required to be received is deposited as the first payment (after the National Agency has made the payment to our university) to the Euro account. The remaining 30% payment is paid after the student returns and fills the documents showing that the activity has been completed successfully.
